Managing Multi-Visit Work Orders

This article provides instructions on how to create and manage multi-visit work orders and/or estimates.

Updated over a week ago

The Multi-Visit feature is designed to help you save time and streamline your workflow by allowing you to create work orders or estimates that span multiple visits—all in one step. Instead of manually entering each visit separately, you can now set up a recurrence rule that automatically schedules repeating tasks or events.

The Multi-Visit feature should be used in the following situations:

  • The job involves multiple appointments (e.g., once a week for a month).

  • You're completing work at different locations, but it's all part of the same job.

  • The work is done in phases and requires follow-up visits.

The following guide provides instructions on how to:

  • Create a Multi-Visit Work Order/Estimate

  • Manage Multi-Visit Work Orders/Estimates

  1. Assign a Team

    2. Add additional team members, if needed.

  2. Select a Start Date: This is the date on which the first visit should occur.

Note: The maximum number of visits is 100. If you attempt to add more than 100 visits, the following message will display.

    1. Daily

      1. Every X days

      2. Weekdays only

      3. End after a number of visits

      4. End on a specific date

    2. Weekly

      1. Every x weeks

      2. Weekday selection

  4. Click Apply.

Note: These settings apply to all visits by default; however, you can change individual ones later.

Step 3: Review and Edit the Visit Table

Your screen will show a table showing all the generated visits. From this table, you can:

  • Edit visit details like date, time, team, or technician

  • Add more visits (they'll follow the same settings but can be customized)

  • Delete a single visit or remove that visit and all the ones after it

Step 4: Save the Multi-Visit Work Order/Estimate

  1. Fill in any remaining job details (like the job title or customer notes).

  2. Click Save.

The Multi-Visit job will now be listed in your system and ready to manage.

You can edit your Multi-Visit Work Order or Multi-Visit Estimate.

  1. Navigate to the "Work Orders" or "Estimates" page.

  2. Click the arrow next to the job name to expand or collapse the visit list.

  3. Filter visits by date to see what’s coming up.

  4. Click “View All Visits” to see visits outside the current date range.

  5. Edit or reschedule any visit by clicking into that row or click the trash icon and choose to delete just that visit, or delete that visit and all the ones after it.

  6. Click Multi-Visit Settings again if you need to change the repeat pattern.

  7. Click Apply after making your changes.

Quick Tips

  • Always look for the word “Multi-Visit” when creating a job as this ensures you’re setting up the right kind of schedule.

  • Use the Visit Table to adjust individual appointments without needing to start over.

  • If a visit falls outside the date filter, click View All Visits to make sure you’re seeing everything.
