Refund a Payment

ServiceBridge offers three types of refunds, which are detailed below.

Credit Memo Refund

A credit memo refund is performed when customer requests a refund for already paid products/services. Customer agrees to keep the refunded money in his balance and to be able to apply it on new purchase of products/services. Credit memo refunds affect customer balance by increasing money to be used on future invoices.

Creation: Credit Memo refund can be created from click the universal add "+" button and select refund or directly from a customer record.
QuickBooks Online sync: Refund is synced to QuickBooks Online as Credit Memo.
Customer Credit Balance: Customer credit balance is increased by the Refund amount.
Usage: Refund can be applied on invoice as an invoice payment.
Authorize.Net sync: Credit Memo is not synced to Authorize.Net.

Scroll to the bottom to find the Refund section to issue a Credit Memo Refund directly from the Customer page.

Complete the field and click 'Save' to issue the credit memo refund.

Refund Receipt Refund

Refund receipt refund is performed when customer requests a refund for already paid products/services. Customer does not agree to keep refunded money in his balance and wants them back to his personal account.
IMPORTANT: Refunds receipts will NOT affect the customer balance. Refund receipts given from QuickBooks Online depending on the situation may or may not affect your customer's balance. 

Creation: Refund Receipt refund can be created by clicking "Refund" button in Payment details page.
QuickBooks Online sync: Refund is synced to QuickBooks Online as Refund Receipt.
Customer Credit Balance: Customer credit balance is not affected.
Usage: Refund cannot be applied on invoice, payment or any other transaction.
Authorize.Net sync: Refund is synced to Authorize.Net if refunded amount is transferred to customer’s bank account (refunding a Credit Card or Payment Profile payment).

Overpayment Refund

Overpayment refund is performed when customers pays too much for products/services. Part of customers' payment can be refunded to customer personal account only if that part of payment is not applied on any invoice. Overpayment refunds affect customer balance by decreasing money not used on any invoice.

Creation: Overpayment refund can be created by clicking the "Refund" button in the Payment details page. Open balance for refunding payment is a must.
QuickBooks Online sync: Refund is synced to QuickBooks Online as an expense. Refund must be manually applied on Payment open amount (amount to be refunded).
Customer Credit Balance: Customer credit balance is decreased by the Refund amount.
Usage: Refund cannot be applied on invoice, payment or any other transaction.
Authorize.Net sync: Refund is synced to Authorize.Net if refunded amount is transferred to customer’s bank account (refunding a Credit Card or Payment Profile payment).

Voids

Void operation can be performed on payments, credit memo refunds, refund receipt refunds and overpayment refunds. Voiding basically cancels transaction. It does not delete it, but clears the amount. Authorize.Net transactions can be voided only if they are not settled (deposited) yet. Depending on voided transaction type - customer balance may or may not be affected.
